We do accept booking by email or by post. But you must fill in a booking form for every person coming on one of our courses or a group booking form. Places on our courses can only be reserved by sending a booking form by one of these methods along with your payment.
This is payable 8 weeks prior to the commencement of the course. In the event that the balance is not paid we will treat the booking as cancelled by you as our client and offer the course place for re-sale.
We offer discounted courses through our affinity with the BMC, Vegetarian And Vegan Societies. You need to indicate this on our booking forms. These can be found on the pdf download on the web. Other late or last minute special offers appear on our website.

All cancellations must be in writing. They will be dealt with as stated in the terms and conditions of booking. These are available electronically and are sent to you when book with us.
Whilst we make every attempt is to ensure the advertised courses run. Ace Outdoors will contact you to inform you of any course being cancelled as soon as practicable where it believes on reasonable grounds that cancellation is necessary due to unsuitable conditions for the course activity taking place.
We will notify you no less than 5 days before to the commencement of your course. In the event of a cancellation customers will be offered the choice of either a full refund of the course fee paid or another course on different dates.
We strongly recommend you take out insurance against cancellation and curtailment of your course and accident and personal injury. Ace Outdoors do not organise insurance however are happy to offer advice on the range of policies offered by other providers for the activities you will be undertaking as part of one of our courses.
Normally we include only the instruction fee unless started. You have the option to upgrade to a residential package for an extra charge. This normally covers your room (normally shared) and full board unless we specifically state self catering or non-residential. On our residential courses half board is available. Breakfast and lunch is usually provided. On Half board trips we usually go out as a group for evening meals but that's not included in the price. On non-residential courses please make your own arrangements for food.
We operate a number of courses throughout the year in a variety of locations and in different options for accommodation. Many standard rooms are twin bedded with en suite or in some cases in shared Swiss-style dormitories. Please check your course notes and accommodation code option.
Yes tea, cakes and usually yummy homemade biscuits!
We welcome everyone who wants to come along on any of our adventure activities and walking holidays. However, if you chose to upgrade your course to a residential option, or if your holiday is advertised in our brochure as all-inclusive we only provide vegan and vegetarian meals. We are happy to discuss other dietary requirements such as gluten free, halal etc.
All course dates shown are inclusive activity days e.g. if your course is shown as 20-21 June you should arrive on the evening of June 19th (rooms will not be available until 8pm). No set meal is provided on this first evening.
Yes. This is not included in the course fee. Details are included in the joining instructions, which will be sent to you when you book. In some cases we are happy to collect clients free of charge from the nearest rail station.
You are welcome to bring your own equipment and use it at your own risk, however if our instructors consider your equipment unsuitable they will provide you with technical equipment from our stores. With certain courses you must have your own equipment. Most hill/mountain courses require you to have your own map. Please refer to our course notes.
All of our courses assume a certain level of fitness. Generally, the fitter you are the more you will get out of your course. Our winter courses are particularly demanding and consequently require higher levels of fitness. We reserve the right to curtail participation in (rare) extreme cases we may ask you to withdraw from activities if we feel your lack of fitness is causing excessive difficulties for you or other course members.
We are happy to provide activities for anyone over the age of 16 years of age.
We do run a series of courses tailored for younger age groups. Please see our Youth pages and Outdoor education pages for groups and schools.
We do not allow participants that are younger than 16 years old on our adult courses but we do run a series of young person's courses, which may be suitable. If you are aged 16 or 17 you do not need to be accompanied by an adult to take part in a course but your booking form must be signed by a parent or guardian.
It is essential that you let us know about any medical condition or injury when booking and that you also let your instructor know on the starting day of your course. This information will remain completely confidential but is essential to allow us to tailor our activities to suit you and to ensure the safety of other group members.
Unfortunately, we can't always control the great British weather. As an outdoor activities provider we do plan areas and routes that should be appropriate and in good condition. This does mean that we reserve the right to change the itinerary for safety reasons if required and keep your course itinerary fairly flexible. Please follow the kit lists and be prepared for all the 'interesting' weather the U.K. and overseas has to offer.
